Human Capital Officer

Role Description

Location: Midrand, Gauteng, South Africa

Full-time and Office based

Reporting: Human Capital Manager

Job Purpose

As a Human Capital Officer, you will play a crucial role in managing a variety of human capital functions to support Pinnacle employees and organizational growth. This role is responsible for a wide range of HC activities, ensuring compliance with policies, fostering a positive workplace culture, and providing an exceptional HC service to the Company.

Key Responsibilities

1. Employee Relations

o Promote a positive and inclusive work environment through communication and employee engagement initiatives. 

o Act as a point of contact for employee inquiries, concerns, and conflict resolution. 

2. HC Policy and Compliance

o Maintain and update HR policies and procedures in line with current labour laws and industry best practices. 

o Ensure compliance with all legal, regulatory, and internal requirements related to employment. 

3. Labour Relations 

o Manage internal disciplinary processes in full 

o Advise managers in ensuring all internal processes are managed professionally, limiting risk to the Company 

o Compile warnings 

o Organise, administer and run disciplinary hearings 

o Represent the Company at the CCMA 

o Manage poor performance consultations and process from start to completion 

4. Benefits and Compensation 

o Administer employee benefits programs, including medical aid, pension/provident funds, death benefit plans, disability, and other perks. 

o Compile employment contracts, work back agreements, maternity contacts, and other related agreements. 

o Assist in compensation analysis and reviews 

o Manage external parties and consultants to ensure employees receive a good level of service  

5. Performance Management

o Support performance appraisal processes by providing guidance to both managers and employees 

o Collect and assist in the development of KPA scorecards 

o Assist in the development of performance improvement plans

6. Payroll and Employee System Administration 

o Take responsibility for the monthly payroll administration including engagements, terminations, remuneration, and other changes 

o Manage payroll paperwork and accurately capture system data 

o Leave management on the HC payroll system 

o Manage employee particulars on the HC system 

o Ensure all paperwork and filing are completed monthly 

7. Employment Equity 

o Manage, minute, and organise quarterly Employment Equity meetings 

o Assist the HR Manager in compiling the annual EE report 

o Analyse and track EE Plan progress on a quarterly basis 

8. Recruitment and Onboarding 

o Schedule and manage the monthly induction process 

o Update the induction process from time to time

o Manage the end-to-end recruitment process, including job postings, candidate screening, interviews, and job offers

9. Training and Development 

o Identify training needs and co-ordinate employee training and development programs 

o Assist in the management of learnership programs 

o Assist employees and managers in compiling personal development plans (PDPs) 

o Promote continuous learning and career development opportunities 

o Assist in compiling the annual Company Workplace Skills Plan 

10. HC Administration and HC Reporting  

o Maintain accurate employee records and databases 

o Prepare various monthly and quarterly HC reports 

o Prepare audit reports as required 

o Update POPIA risk register and data map as required

o Create POs for invoicing, obtaining payment approval, and following up on proof of payment for record-keeping and compliance purposes 

11. Employee Engagement 

o Organise employee engagement initiatives such as team building, events, rewards programs, recognition programs, birthday, long service initiatives, and surveys. 

o Monitor employee satisfaction and take action to enhance the workplace experience.  

o Schedule and take minutes at internal Workplace Representative meetings  

12. Employee Wellness 

o Organise and co-ordinate a variety of employee wellness and charity initiatives.

13. HC Projects

o Manage and/or play a role in special HC projects and initiatives as required 

Requirements

Experience and Knowledge:

  • A minimum of 3 years of experience in an HC/HR Officer position 

  • A minimum of 3 years of experience working with payroll administration
  • HC/HR system knowledge and experience 
  • Knowledge of the S-Cubed system will be an advantage
  • Thorough knowledge and demonstratable labour relations experience 
  • Experience working in a corporate HC environment of over 250 employees
  • Thorough working knowledge of an HC department and practical experience working in all areas of the HC function 

 

Skills and Education:

  • Matric

     

  • A tertiary qualification in Human Resources or Psychology

  • Intermediate skills in MS Word, Excel, Outlook, and PowerPoint 

  • Excellent labour relations skills 

  • Excellent verbal and written business communication skills 

  • Able to complete basic calculations, analyze and compile HC reports 

  • Organized individual who is deadline-driven with good time management skills

  • Excellent interpersonal skills 

  • Good attention to detail

  • Skilled at using an HC/HR/Payroll system
